Two times per year, Managing Attorney and Managing Case Consultant personas will see a pop-up notice of their "active users," or active office members, upon logging in to CARES (unless there are no other active members of the office):
"This is a twice-a-year reminder of who can currently log in to your office's CARES account. Below are the active members of your office who can currently access your office's data. If any of these should no longer log in to CARES, please click "Go to Deactivation Form" to notify OCR (you will be able to specify names on the form). If your staff is up to date, click Close."
What this means
This notice is to protect your confidential information. Anyone listed on this pop-up for your office can currently log in to see all of your office's CARES data. If you have former staff members or associates for whom you approved CARES access in the past, this message is only to remind you that you should end their access now.
What to Do
- If everything looks up to date, simply click Close and carry on with your CARES business.
- If you need to end CARES access for one of the individuals listed, click Go to Deactivation Form in the lower left of the pop-up. A deactivation form will open in a new tab of your web browser. Follow the instructions on that form to notify OCR about which office member(s) to deactivate. If there are multiple managing attorneys in your office, only one of you needs to submit a deactivation form, but it is no problem if more than one of you do so.
- If you do not have time now, click Close; you can always access this same form in User Settings > My Office > Remove Staff button ("managing" personas only). Please set a reminder to do so at your earliest convenience to protect your CARES data.
- If you see an email address that needs an update, visit User Settings > My Office > Change Contact Info button.
If you see this message more frequently than two times per year, your web browser may be set to clear its cache automatically at frequent intervals, meaning CARES is losing its count of how many days have passed since you last saw this message, and your IT support can help stop that from happening so often.
