The warning message reads, "Your changes to this child party would exclude one or more activity dates that were already entered for this appointment. Please use child party dates that include all existing activity dates, or 'Cancel' your child party updates and edit your activity date(s) first."
If you are trying to save an edit to a Child Party and you see an "Activity Dates" warning, this means the child party dates (which constitute the appointment dates, or the dates OCR may pay) would cut off existing activities. If you have shifted to a new Attorney Role (such as CFY), first remember not to un-check your previous Attorney Role (such as GAL)--click here for pictures to help with this. Keeping both your previous and new role checkboxes and their respective dates intact may solve the problem.
Other Solutions
If the change you are making is not to an Attorney Role, CARES has identified some other conflict in dates, so please try the following:
- Go to the Activities tab of this appointment and note both the earliest and latest activity date.
- Return to the Profile tab of this appointment and look at the child party table at the bottom. Be sure to check the "Show Inactive Children" checkbox just in case there are any additional child parties on this appointment:
- Look at the earliest "Appt Start Date" and latest "Appt End Date" (green square on the right above) -- all activities must fall between these two dates. I.e., the minimum date for activities is the earliest of all the child party start dates. If a child party does not have an end date, there is no "maximum" date for activities yet.
- You can fix this by changing a child party's dates. For example, if the earliest child party start date is after an existing activity date, this is why the child party will not save updates. Edit the child party and enter their earliest Representation Start Date as the earliest activity date (or earlier) to make sure the activities are all included within the appointment's child party dates.
Your appointment must always have at least one child party, and activities fall within the child party dates, but sometimes a data entry error results in these dates needing a quick edit like described above. However, if the fix suggested above would mean you must enter inaccurate data rather than fix an error, please contact OCR with the case number to request further help.
