Navigate to User Settings > My Office to view all the CARES users (i.e., staff or office members) who can log in to CARES and view your office's data. Each CARES account is linked to one office which shares communal payment information and access to appointments.
Click on any column header to sort by that column. Search for a whole name using the search box in the dark blue upper portion of the screen. Use the small "User Status" dropdown on the mid-upper right to view your Active (can log in), Inactive (cannot log in), or all historical office members; click the magnifying glass to apply your search.
Updating the Information Shown
This screen shows your office's current payment name/address in the upper left (please note this may be different than the contact information you provide OCR for non-billing Appointment Eligibility Lists published to the courts). You can also find all your staff's names and email addresses for CARES notices (e.g., invoice updates). Use the buttons in the upper right of the screen to update any of the information shown.
All historical users in your office are forever shown under "Inactive" status. "Inactive" users are no longer able to log in to CARES. Only users with "Active" status may log in to CARES. To deactivate an office member, click the "Remove Staff" button and follow the instructions on that form ("managing" personas only). If OCR contractors need to update the email address for invoice notifications, billing information (bank account, etc.), or other OCR information, click "Change Contact Info." Or, request new access to CARES for other staff with "Add Staff." This will bring you to the request form with different requirements depending on the type of staff requested; if OCR has approved your new staff but there is any delay before they are set up in CARES, please note they will be able to enter activities with dates of service that occurred before they had access to CARES (assuming they were approved by OCR according to the Billing Policies and Procedures).
Personas and Permissions
Not all user types or "personas"—e.g. Managing Attorney, Case-Carrying Attorney, or Paralegal—have the same "permissions" (abilities) within CARES. Please see the chart below for personas and their permissions. Solo practitioners are automatically considered "Managing Attorneys" or "Managing Case Consultants." The permissions in italics below refer to actions you can take in CARES--search for any one of them in this Help Center for more information. Please keep in mind that you cannot use your own CARES account to enter activities on behalf of another user. The activities each user enters via their own login will record their name and billing rate. Am I a Managing Case Consultant?
